LIFETIME FOUNDERS MEMBERSHIP
TERMS AND CONDITIONS
Effective Date: 25/02/2026 | Version 1.0
Please read these Terms and Conditions carefully before purchasing a Lifetime Founders Membership. By completing your purchase, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions, in addition to the Enclave LAN Event Terms and Conditions and the LANCraft Events Ltd Website Terms and Conditions.
1. Definitions
1.1 In these Terms and Conditions, the following definitions apply:
“Enclave LAN” means the series of LAN gaming events organised and operated by LANCraft Events Ltd, currently held at Arena MK, Milton Keynes, or such other venue(s) as may be used in the future.
“LANCraft Events Ltd” (also referred to as “we”, “us”, or “our”) means the company registered in England and Wales under company number 15420570, VAT registration number 462339096, whose registered office is at 6 Elm Crescent, Hythe, Southampton, Hampshire, SO45 3PR, that operates Enclave LAN events.
“Member” (also referred to as “you” or “your”) means the individual who has purchased a Lifetime Founders Membership.
“Membership” means the Lifetime Founders Membership purchased under these Terms, in one of three tiers: Standard, Vanguard, or Apex.
“Event” means any Enclave LAN event organised by LANCraft Events Ltd, regardless of venue, branding iteration, or frequency.
“Welcome Package” means the one-time physical merchandise package shipped to the Member after purchase, the contents of which vary by tier. For the avoidance of doubt, the personalised gaming chair (Apex tier) is not part of the Welcome Package and is dealt with separately under clause 14.
“BYOC” means Bring Your Own Computer (or Console), being the standard LAN ticket format.
“VIP” means the premium ticket format, which includes an enhanced desk setup, dedicated power supply, a gaming chair, and fast-track entry. The specific setup specifications may vary from Event to Event and will be published on the Enclave LAN website in advance of each Event.
“Cooling-Off Period” means the period of 14 calendar days from the date of purchase of the Membership, during which a Member may cancel without penalty under the Consumer Contracts Regulations 2013.
“Permanent Cessation” means a decision by LANCraft Events Ltd to cease operating Enclave LAN events permanently, announced in writing to all Members.
“Founders Wall” means the display of Members’ names (physical, digital, or both) to recognise early supporters of Enclave LAN.
2. Membership Overview
2.1 The Lifetime Founders Membership entitles the Member to attend every future Enclave LAN Event for the lifetime of the Enclave LAN brand, subject to these Terms and Conditions. For the avoidance of doubt, a rebrand, renaming, or restyling of the Enclave LAN brand does not terminate the Membership, provided the events remain substantially similar in nature (i.e. multi-day LAN gaming events operated by LANCraft Events Ltd or its successor). If LANCraft Events Ltd sells, assigns, or otherwise transfers the Enclave LAN brand or its business to a third party, the transferee must assume all obligations under these Terms and Conditions as a condition of the transfer. If the transferee fails or refuses to honour these obligations, this will be treated as Permanent Cessation and the refund mechanism in clause 11.5 will apply.
2.2 Memberships are available in three tiers, each with different benefits and pricing:
STANDARD Tier – £1,500, 100 Slots, Ticket: BYOC for life
VANGUARD Tier – £3,000, 50 Slots, Ticket: BYOC for life
APEX Tier – £5,000, 25 Slots, Ticket: VIP for life
2.3 The total number of Memberships available is strictly limited to 175 (one hundred Standard, fifty Vanguard, and twenty-five Apex). Once all slots within a tier are sold, no further Memberships of that tier will be made available.
2.4 Membership is personal to the individual purchaser and is registered in their name at the point of sale.
2.5 Eligibility. Memberships are only available to individuals aged 18 or over. By purchasing a Membership, you confirm that you are at least 18 years of age. LANCraft Events Ltd reserves the right to cancel any Membership purchased by a person under 18 and issue a full refund.
2.6 Equal Access. LANCraft Events Ltd is committed to providing the Membership and its associated benefits without unlawful discrimination on the grounds of any protected characteristic under the Equality Act 2010, including age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex, and sexual orientation. LANCraft Events Ltd will make reasonable adjustments where necessary to ensure that Members with disabilities or other protected characteristics can access and enjoy the benefits of their Membership (see clauses 14.6, 15.4, and 16.4 for specific provisions).
3. Purchase and Payment
3.1 Memberships are requested by completing the Membership enquiry form on the Enclave LAN website (www.enclavelan.com). The form will ask for your preferred method of communication, after which a member of the LANCraft Events Ltd team will contact you to discuss your Membership, talk through any applicable adjustments to the price (for example, GoFundMe contributions), and arrange payment. Before payment is taken, LANCraft Events Ltd will provide the Member with the pre-contract information set out in Schedule 2 and a copy of these Terms and Conditions on a durable medium (email or other permanent record), in accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Payment will not be accepted until the Member confirms receipt of this information.
3.2 The Membership fee is a one-time payment. There are no recurring subscription charges, annual fees, or hidden costs associated with the Membership itself.
3.3 Payment must be made in full before any Membership benefits are activated. LANCraft Events Ltd does not offer payment plans or instalments.
3.4 All prices are quoted in British Pounds Sterling (£ GBP) and are inclusive of VAT at the current rate of 20%. LANCraft Events Ltd is registered for VAT (VAT registration number 462339096). VAT is included in the Membership fee at the rate applicable at the time of purchase.
3.5 Subject to the cooling-off period in clause 4, Memberships are non-refundable after the cooling-off period has expired. See clauses 4, 8A, and 10 for the full refund and cancellation policy. This does not affect your statutory rights.
3.6 Commencement of Membership. All Membership benefits and event perks commence from Enclave 3 (scheduled August 2026) onwards. Due to the lead times required for the production, printing, and delivery of Membership perks and Welcome Package items, benefits will not be available at any Event prior to Enclave 3. Community perks (Founder badge on Discord, Founders Wall listing, access to the Founders Discord channel, and Founders newsletter) will be activated upon purchase regardless of the Event schedule. Dispatch of the Welcome Package will also commence upon purchase in accordance with clause 13.
3.7 Late Purchases – Apex Gaming Chair. Due to the extended manufacturing and customisation lead times for the personalised Apex gaming chair, Apex Memberships purchased less than 2 months before the start of Enclave 3 may not have the personalised gaming chair ready for setup at that Event. The Member’s event ticket and all other Membership perks for Enclave 3 will be honoured as normal. LANCraft Events Ltd will make every reasonable effort to have the chair produced in time, but cannot guarantee this in these circumstances. If the chair is not ready, it will be made available at the next Event as soon as reasonably practicable.
3.8 Late Purchases – Official Event T-Shirt. Due to the production lead times required for the official event t-shirt, Memberships of any tier purchased less than 4 weeks before the start of an Event (including Enclave 3) may not have the official event t-shirt ready for collection at that Event. The Member’s event ticket and all other Membership perks will be honoured as normal. LANCraft Events Ltd will make every reasonable effort to have the t-shirt produced and delivered in time, but cannot guarantee this in these circumstances. If the t-shirt is not ready, it will be dispatched to the Member as soon as reasonably practicable after the Event.
3.9 Protection of Membership Funds. LANCraft Events Ltd will maintain a designated reserve of no less than 25% of total Membership fees received to meet its ongoing obligations to Members. LANCraft Events Ltd will use reasonable endeavours to ensure that, in the event of its insolvency, Members’ interests are taken into account. LANCraft Events Ltd will, upon reasonable written request from any Member (no more than once per calendar year), provide written confirmation of the current reserve balance and confirm that adequate financial arrangements are in place to honour Membership obligations. Nothing in this clause creates a trust, charge, or security interest in favour of Members, but LANCraft Events Ltd will give consideration to implementing stronger protections (such as a ring-fenced fund, insurance bond, or client money account) and will notify Members if and when such protections are put in place.
3.10 Contract Formation. The contract between the Member and LANCraft Events Ltd is formed when LANCraft Events Ltd receives payment in full. The “date of purchase” for the purposes of these Terms and Conditions, including the commencement of the Cooling-Off Period, is the date on which payment is received by LANCraft Events Ltd.
4. Cooling-Off Period and Right to Cancel
4.1 14-Day Cooling-Off Period. In accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, because Memberships are sold at a distance (online), you have the right to cancel your Membership within 14 calendar days of the date of purchase (“Cooling-Off Period”) for any reason, without needing to give an explanation.
4.2 How to Cancel. To exercise your right to cancel during the Cooling-Off Period, you must inform LANCraft Events Ltd of your decision by a clear statement (e.g. email to events@lancraftevents.com). You may use the Model Cancellation Form set out in Schedule 1 of this document, but it is not obligatory.
4.3 Refund on Cancellation. If you cancel within the Cooling-Off Period, LANCraft Events Ltd will reimburse the Membership fee, subject to the following deductions:
(a) If the Welcome Package has already been dispatched but not yet delivered, you must return the package unopened. The cost of return postage is borne by the Member.
(b) If the Welcome Package has been delivered and opened, the reasonable cost of the Welcome Package items will be deducted from the refund. LANCraft Events Ltd will provide a breakdown of these costs upon request.
(c) If you have given your express prior consent for Membership benefits to begin during the Cooling-Off Period and have acknowledged that you will lose your right to cancel once the services have been fully performed (for example, by accessing the Founders Discord channel or using the seat picker early access), a proportionate amount may be deducted to reflect the services already provided up to the point of cancellation.
4.4 Timing of Refund. Any refund due under this clause will be processed within 14 days of the date on which LANCraft Events Ltd receives notice of cancellation, using the same payment method as the original transaction unless otherwise agreed.
4.5 After the Cooling-Off Period. Once the 14-day Cooling-Off Period has expired, the Membership is non-refundable except as set out in clauses 8A (Death or Medical Grounds), 10, 11, and 17.5 (Material Changes). This does not affect your statutory rights.
5. Membership Benefits
5.1 Ticket Entitlement. Standard and Vanguard Members are entitled to one BYOC ticket per Event. Apex Members are entitled to one VIP ticket per Event. The ticket entitlement covers the full duration of each Event. Members are not required to purchase a separate ticket.
5.2 Ticket Non-Transferability. The event ticket provided as part of the Membership is issued solely for the registered Member’s personal use. The ticket cannot be given, transferred, shared, lent, or otherwise made available to any other person under any circumstances. If a Member is unable to attend an Event, the ticket cannot be passed to another individual and is not used for that Event.
5.2A Temporary Inability to Attend. LANCraft Events Ltd recognises that Members may be temporarily unable to attend Events due to circumstances including (but not limited to) short-term illness or injury or disability-related fluctuations. In such circumstances, the Membership remains fully valid and no benefits are lost. The Member’s ticket entitlement simply carries forward to the next Event they are able to attend. Members are encouraged to contact LANCraft Events Ltd in advance if they anticipate being unable to attend so that any applicable Event perks (such as the official event t-shirt) can be reserved and dispatched.
5.2B Pregnancy, Maternity, and Paternity Hold. If a Member is unable to attend Events due to pregnancy, childbirth, maternity, or paternity, LANCraft Events Ltd will place the Membership on hold as a gesture of goodwill. The hold will remain in place until the second birthday of the Member’s child. During the hold period, the Membership remains valid and community perks (Discord access, newsletter, Founders Wall) continue as normal. Event-specific perks (such as the official event t-shirt) will be reserved and dispatched to the Member for any Events missed during the hold period, where reasonably practicable. The Membership will automatically resume in full after the hold period expires, and the hold period will not count toward any time-based refund calculation under these Terms. To request a hold, the Member should contact LANCraft Events Ltd by email.
5.3 VIP Upgrade (Standard and Vanguard Members). Standard and Vanguard Members may upgrade their BYOC ticket to a VIP ticket for any individual Event, subject to VIP availability. The upgrade fee for each Event shall be calculated as the difference between the advertised VIP ticket price and the advertised standard BYOC ticket price for that Event as published to the general public. Upgrades do not carry over to future Events; each upgrade must be purchased separately. To arrange an upgrade, email events@lancraftevents.com.
5.4 Welcome Package. All Members receive a one-time Welcome Package shipped to their registered address after purchase. The personalised gaming chair (Apex tier) is not part of the Welcome Package and is dealt with separately under clause 14. The Welcome Package contents are determined by tier:
(a) All tiers: Metal engraved membership card (name, Founder number, tier) and a full set of Enclave keycaps (PBT/double-shot, Enclave colourway).
(b) Vanguard and Apex additionally receive: Exclusive Founders hoodie, exclusive Founders t-shirt, and Enclave XL mousemat (900×400mm), each in a unique tier-exclusive design.
5.5 Every Event Perks. At each Event, Members receive the following benefits according to their tier:
(a) All tiers: Enhanced event goody bag (upgraded version of the standard attendee bag) and early access to the seat picker before general ticket holders (see clause 15).
(b) Vanguard and Apex: Official event t-shirt (unique design exclusive to each Event) and a reserved parking space (subject to the advance confirmation requirements in clause 6).
(c) Apex only: Hotel booking concierge service (subject to the advance confirmation requirements in clause 7) and your personalised gaming chair (which remains the property of LANCraft Events Ltd) stored by LANCraft Events Ltd and set up at your designated seat prior to each Event (see clause 14).
5.6 Community Perks. All Members, regardless of tier, receive: a Founder badge on the Enclave LAN Discord server; their name displayed on the Founders Wall (subject to opt-in consent under clause 20.4); access to the exclusive Founders Discord channel; and the Founders newsletter (insider updates, upcoming plans, and sneak peeks).
5.7 Clothing Sizes. Where Membership benefits include clothing items (such as t-shirts or hoodies), each item will be produced in the Member’s size as provided at the time of purchase or as subsequently updated by the Member. It is the Member’s responsibility to provide accurate sizing information and to notify LANCraft Events Ltd of any changes. LANCraft Events Ltd will not be responsible for items produced in an incorrect size where the Member has provided inaccurate information.
5.8 Updates to Personalised Items. If a Member changes their legal name (for any reason, including but not limited to gender reassignment, marriage, or deed poll) or wishes to update their gamertag on personalised items, the Member may request updated items by contacting LANCraft Events Ltd. The metal membership card will be reprinted and, for Apex Members, the personalised gaming chair will be updated at the next reasonable opportunity (which may be at the next scheduled Event). The cost of reprinting the membership card and updating the gaming chair will be borne by the Member. LANCraft Events Ltd will provide a quote for the work before proceeding.
6. Reserved Parking
6.1 Vanguard and Apex Members are entitled to a reserved parking space at each Event. This means that a designated parking space will be held for the Member’s use. The reserved space is not a paid-for space. The Membership does not cover the cost of parking. Members are responsible for paying all venue parking fees at the prevailing rate at each Event.
6.2 Advance Confirmation Required. To secure your reserved parking space, you must confirm your intention to use it no later than 3 months (90 days) prior to the start of each Event. Confirmation must include the registration number of the vehicle you intend to park in the reserved space.
6.3 Confirmation should be submitted via email to events@lancraftevents.com. A reminder will be issued via the Founders Discord channel and/or Founders newsletter in advance of the confirmation deadline.
6.4 If confirmation (including vehicle registration) is not received by the deadline, LANCraft Events Ltd is not obligated to hold a reserved parking space for that Event. The Member may still park at the venue using general parking, subject to availability and standard venue parking fees.
6.5 The reserved space is allocated for the specific vehicle registration provided. If the Member changes vehicle, they must notify LANCraft Events Ltd before the Event.
6.6 LANCraft Events Ltd is not responsible for the security of any vehicle parked at the venue, whether in a reserved space or otherwise.
6.7 Vehicle registration data provided for parking reservations will be retained only for the duration necessary to administer the reservation and will be securely deleted within 30 days after the relevant Event.
7. Hotel Booking Concierge (Apex Tier)
7.1 Apex Members are entitled to a hotel booking concierge service, meaning LANCraft Events Ltd will handle the hotel reservation on the Member’s behalf. The room cost is not included in the Membership. The room cost is billed directly to the Member per Event.
7.2 Advance Confirmation Required. To use the hotel concierge service, Apex Members must confirm their intention to use the service no later than 3 months (90 days) prior to the start of each Event. Confirmation should include preferred dates, room type, and any special requirements.
7.3 Confirmation should be submitted via email to events@lancraftevents.com. A reminder will be issued via the Founders Discord channel and/or Founders newsletter in advance of the confirmation deadline.
7.4 If confirmation is not received by the deadline, LANCraft Events Ltd is not obligated to arrange a hotel booking for that Event. The Member may still book accommodation independently.
7.5 LANCraft Events Ltd acts as an intermediary only. LANCraft Events Ltd will exercise reasonable care and skill in making bookings on the Member’s behalf, but is not responsible for the hotel’s own performance, service quality, availability, or pricing. All hotel bookings are subject to the hotel’s own terms and conditions, availability, pricing, and cancellation policies.
7.6 Any cancellation or modification of a hotel booking is subject to the hotel’s own cancellation policy. Cancellation fees or charges imposed by the hotel are the sole responsibility of the Member.
8. Non-Transferability
8.1 Memberships are strictly non-transferable, except in the case of death (clause 8A.1) or as expressly permitted by LANCraft Events Ltd in writing. The Membership is registered in the name of the original purchaser and cannot be sold, gifted, assigned, sublicensed, or otherwise transferred to any other individual or entity under any circumstances.
8.2 Event tickets issued as part of the Membership are strictly non-transferable. The ticket for each Event is for the registered Member’s personal use only. Tickets cannot be given to, transferred to, or used by any other person. If a Member cannot attend an Event, the ticket cannot be passed to another individual and is not used for that Event. See clauses 5.2A and 5.2B for provisions relating to temporary inability to attend and pregnancy, maternity, and paternity hold.
8.3 The metal membership card must be presented at check-in for identification purposes. LANCraft Events Ltd reserves the right to verify the identity of the cardholder and refuse entry if the person presenting the card is not the registered Member.
8.4 Any attempt to transfer, resell, or share Membership benefits or event tickets with a third party will be treated as a serious breach of these Terms and will be dealt with in accordance with clause 9.
8A. Death or Medical Grounds
8A.1 In the event of a Member’s death, the Membership will terminate. The Member’s estate may apply for a pro-rata refund of the Membership fee by providing a copy of the death certificate to LANCraft Events Ltd. The application must be made by the estate’s legal representative (executor or administrator). The refund will be calculated as follows: if death occurs within 10 years of the date of purchase, Refund = Membership Fee × (Remaining Months ÷ 120), where “Remaining Months” is the number of full calendar months between the date of death and the 10th anniversary of the date of purchase. If death occurs more than 10 years after the date of purchase, no refund will be payable. In all cases where a refund is payable, a minimum refund of 10% of the original Membership fee will apply regardless of the calculation above. Any refund due under this clause will be processed within 60 days of the date on which LANCraft Events Ltd receives a valid application (including the death certificate and evidence of the applicant’s authority to act on behalf of the estate), and will be paid to the estate’s legal representative.
8A.2 Refund on Medical Grounds. If a Member is diagnosed with a medical condition that will affect their ability to attend Events in the long term, the Member may apply to LANCraft Events Ltd for a pro-rata refund, calculated on the same basis as clause 8A.1 (using the date of the application in place of the date of death). The application must be accompanied by a written medical diagnosis signed by a medical doctor registered with the General Medical Council (GMC) in the United Kingdom, or, where the Member resides outside the United Kingdom, a medical doctor registered with the equivalent medical regulatory body in their country of residence, confirming the nature of the condition and its expected impact on the Member’s ability to attend Events. For the avoidance of doubt, this includes conditions that are degenerative, progressive, or terminal in nature. Members with fluctuating conditions (where attendance is sometimes possible but significantly and unpredictably impaired) are encouraged to contact LANCraft Events Ltd to discuss their circumstances; LANCraft Events Ltd will consider alternative arrangements (such as a partial refund, a reduced-tier transfer, or other reasonable accommodation) on a case-by-case basis. All applications will be considered on a compassionate basis, and LANCraft Events Ltd will act reasonably and in good faith. LANCraft Events Ltd will respond to any such application within 20 working days. Any refund due under this clause will be processed within 60 days of the date on which the application is approved.
8A.3 In the case of an Apex Member, LANCraft Events Ltd will arrange the return of the personalised gaming chair to the Member or their estate at no charge. Upon such return, ownership of the chair transfers to the Member or their estate.
9. Enforcement, Suspension, and Termination of Membership
9.1 LANCraft Events Ltd operates a tiered approach to enforcement. The response will be proportionate to the nature and severity of the breach. LANCraft Events Ltd reserves the right to take action at any level (including immediate termination for serious breaches) where it considers it appropriate in the circumstances.
9.2 Level 1 – Written Warning. For a first or minor breach of these Terms, the Enclave LAN Event Terms and Conditions, or the Community Guidelines, LANCraft Events Ltd may issue a formal written warning to the Member (via email). The warning will specify the nature of the breach and the expected corrective action. The Member’s Membership benefits will continue unaffected during this stage.
9.3 Level 2 – Suspension. For a repeated breach following a written warning, or for a single breach of moderate severity, LANCraft Events Ltd may suspend the Membership for a defined period (up to and including the next scheduled Event). During a suspension, the Member’s ticket entitlement and event perks are paused. Community perks (Discord access, newsletter) may also be suspended at LANCraft Events Ltd’s discretion. The suspension will be communicated in writing, specifying the duration and conditions for reinstatement.
9.4 Level 3 – Permanent Cancellation. LANCraft Events Ltd reserves the right to cancel a Member’s Membership permanently in the following circumstances:
(a) A serious breach of these Terms, the Event Terms and Conditions, the Community Guidelines, or applicable law;
(b) Repeated breaches following prior warnings or suspensions;
(c) Any conduct that is objectively identifiable as creating a genuine risk to the safety, security, or wellbeing of other attendees, staff, or the Enclave LAN community, such that it would be inappropriate for the Member to continue to attend Events.
9.5 Without limiting the generality of clause 9.4, the following are examples of conduct that LANCraft Events Ltd considers serious breaches warranting immediate permanent cancellation without prior warning:
(a) Transferring, reselling, or allowing any other person to use the Member’s event ticket or membership card;
(b) Harassment, discrimination, threatening or violent conduct at an Event or within the Enclave LAN community (including Discord);
(c) Theft, deliberate damage to property, or any criminal activity at an Event;
(d) Any conduct that endangers the health or safety of any person at an Event.
9.6 The following are examples of conduct that LANCraft Events Ltd would ordinarily address through a written warning or suspension before considering permanent cancellation:
(a) Failure to comply with Event rules or the directions of Event staff (where the failure does not endanger safety);
(b) Conduct that, in the reasonable opinion of LANCraft Events Ltd, is disruptive to other attendees but does not amount to harassment or threatening behaviour;
(c) Breach of community guidelines in the Discord server (where the breach does not involve harassment, discrimination, or illegal activity).
9.7 Effect of Permanent Cancellation. Where a Membership is permanently cancelled under clause 9.4, the Member will forfeit all Membership benefits with immediate effect, including but not limited to: ticket entitlement, Welcome Package items not yet dispatched, event perks, and community access.
9.7A Refund on Permanent Cancellation. Where the cancellation is based on conduct described in clauses 9.5(b), 9.5(c), or 9.5(d) (violence, criminal activity, or endangerment), no refund of any kind will be issued. In all other cases of permanent cancellation, LANCraft Events Ltd will offer a partial refund of the Membership fee, calculated at 25% of the pro-rata amount that would be payable under clause 11.5(a) as at the date of cancellation. This reduced rate reflects the administrative costs and the fact that the cancellation arises from the Member’s breach.
9.7B Gaming Chair on Permanent Cancellation. As the personalised gaming chair (Apex tier) remains the property of LANCraft Events Ltd, the chair will be retained by LANCraft Events Ltd upon cancellation. The Member may, within 30 days of the cancellation notice, request to purchase the chair at its fair market value (taking into account age and condition). LANCraft Events Ltd will respond to any such request within 14 days.
9.7C LANCraft Events Ltd will make reasonable efforts to arrange the return of any other stored personal property belonging to the Member, but the Member is responsible for any costs associated with collection or delivery.
9.8 LANCraft Events Ltd will notify the Member in writing (via email) of any warning, suspension, or cancellation, including the reason(s) for the action taken.
9.8A Internal Appeal. The Member may appeal any suspension or permanent cancellation decision in writing within 14 days of receiving the notice. The appeal will be reviewed by a senior officer of LANCraft Events Ltd who was not involved in the original decision. LANCraft Events Ltd will issue its appeal decision within 14 working days. The Member’s Membership status at the time of the appeal will be maintained (i.e. if suspended, the suspension continues pending the appeal outcome). If the appeal is unsuccessful or the Member remains dissatisfied, they may proceed under the dispute resolution process set out in clause 22 or through the courts.
9.9 A Member whose Membership has been permanently cancelled under clause 9.4 (and who has exhausted the internal appeal process or chosen not to appeal) is not entitled to purchase a new Membership.
10. Refund Policy
10.1 Cooling-Off Period. Members may cancel and receive a refund during the 14-day Cooling-Off Period as set out in clause 4.
10.2 After the Cooling-Off Period. Once the Cooling-Off Period has expired, the Membership fee is non-refundable except in the circumstances set out in clause 8A (Death or Medical Grounds), clause 9.7A (Permanent Cancellation), clause 10.3, clause 11.5, and clause 17.5 (Material Changes). This reflects the limited and exclusive nature of the programme, the finite number of available slots, and the fact that a slot, once allocated, cannot be resold by LANCraft Events Ltd.
10.3 Cessation of Enclave LAN Events. If LANCraft Events Ltd permanently ceases to operate Enclave LAN events (as defined in clause 11.5), a pro-rata refund may be payable in accordance with clause 11.5. No refund is payable for any other reason after the Cooling-Off Period, including but not limited to:
(a) The Member’s inability or unwillingness to attend future Events (other than where clause 8A applies);
(b) Changes to the Member’s personal circumstances;
(c) Changes to Event dates, venue, format, or frequency;
(d) Changes to the benefits included in the Membership programme (provided the core ticket entitlement is maintained);
(e) Permanent cancellation of the Membership due to a serious breach of these Terms (subject to any partial refund payable under clause 9.7A).
10.4 Statutory Rights. Nothing in this clause excludes or limits any statutory rights that the Member may have under applicable consumer protection legislation, including the Consumer Rights Act 2015, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, and the Digital Markets, Competition and Consumers Act 2024, that cannot be excluded or limited by contract.
11. Event Cancellation, Postponement, Venue Changes, and Cessation
11.1 Individual Event Cancellation. If an Event is cancelled for any reason, the Membership remains valid and carries forward to all future Events. No refund will be issued for a cancelled Event, as the Membership is a lifetime entitlement and is not tied to any individual Event date.
11.2 Postponement. If an Event is postponed, the Membership benefits apply to the rescheduled date. The Member is not entitled to any compensation for inconvenience or out-of-pocket expenses arising from the postponement.
11.3 Venue and Format Changes. LANCraft Events Ltd reserves the right to change the venue, dates, or format of any Event. The Membership entitlement applies regardless of venue location, provided the Event is operated under the Enclave LAN brand (or any successor brand as described in clause 2.1) by LANCraft Events Ltd or its successor.
11.4 Prolonged Inactivity. If no Enclave LAN Event takes place within any consecutive 18-month period (other than due to force majeure circumstances as described in clause 19), any Member may elect to treat this as Permanent Cessation under clause 11.5 and claim the pro-rata refund set out in that clause. To do so, the Member must notify LANCraft Events Ltd in writing. If LANCraft Events Ltd confirms within 30 days of receiving such notice that an Event is scheduled to take place within the following 6 months, the notice is deemed withdrawn and the Membership continues. However, if the confirmed Event does not actually take place within the stated 6-month window, the Member’s notice is automatically reinstated and the Member may claim their refund without further notice. In any event, if no Enclave LAN Event takes place within any consecutive 36-month period (regardless of the reason, including force majeure), any Member may elect to treat this as Permanent Cessation and claim a pro-rata refund under clause 11.5 by providing written notice to LANCraft Events Ltd.
11.5 Permanent Cessation of Enclave LAN. In the unlikely event that LANCraft Events Ltd permanently ceases to operate Enclave LAN events and makes a public announcement to that effect (“Permanent Cessation”), the following refund mechanism will apply:
(a) If Permanent Cessation occurs within 10 years of the Member’s date of purchase, the Member will be entitled to a pro-rata refund of the Membership fee, calculated as follows: Refund = Membership Fee × (Remaining Months ÷ 120), where “Remaining Months” is the number of full calendar months between the date of Permanent Cessation and the 10th anniversary of the Member’s date of purchase.
(b) If Permanent Cessation occurs more than 10 years after the Member’s date of purchase, no refund will be payable.
(c) For the avoidance of doubt, a temporary pause or gap between Events (for example, due to venue availability or scheduling) does not constitute Permanent Cessation.
(d) Any refund due under this clause will be processed within 60 days of the date of the Permanent Cessation announcement.
(e) This clause does not apply where the Member’s Membership has already been permanently cancelled under clause 9.
(f) Upon Permanent Cessation, LANCraft Events Ltd will offer each Apex Member the option to take ownership of their personalised gaming chair. If the Member (or their estate) elects to take the chair, LANCraft Events Ltd will arrange delivery or collection at no charge within 60 days.
11.6 Minimum Event Frequency. LANCraft Events Ltd will use reasonable endeavours to hold a minimum of 2 Enclave LAN Events per calendar year, typically over the Easter bank holiday weekend and the August bank holiday weekend (Thursday through to Monday). This commitment is a target and not a guarantee. Failure to meet this target in any given year shall not, of itself, constitute a breach of these Terms and Conditions or entitle Members to a refund, but LANCraft Events Ltd will communicate with Members about the reasons for any shortfall and its plans for future Events.
12. GoFundMe Backers
12.1 If you donated to the Enclave LAN GoFundMe campaign, your contribution will be credited in full toward the cost of a Founders Membership, provided that the donation can be verified against GoFundMe records. Where verification is not possible, LANCraft Events Ltd will work with the backer in good faith to agree an appropriate credit.
12.2 GoFundMe credit is not automatic. Eligible backers should note their GoFundMe contribution on the Membership enquiry form on the Enclave LAN website, or contact via email to events@lancraftevents.com, to discuss and agree any applicable credit before completing their Membership purchase.
12.3 GoFundMe credit is not redeemable for cash and cannot be transferred to another person.
13. Welcome Package Delivery
13.1 The Welcome Package will be shipped to the address provided by the Member at the time of purchase. It is the Member’s responsibility to ensure the address is correct and complete.
13.2 LANCraft Events Ltd will make reasonable efforts to dispatch the Welcome Package within 60 days of purchase, subject to stock availability and manufacturing lead times. For the avoidance of doubt, the personalised gaming chair (Apex tier) is not part of the Welcome Package and is not dispatched to the Member (see clause 14).
13.3 LANCraft Events Ltd is not responsible for delays caused by postal services, couriers, customs, or other third parties once the package has been dispatched.
13.4 Welcome Package items are subject to design and specification changes at the discretion of LANCraft Events Ltd. LANCraft Events Ltd will endeavour to ensure that any substitutions are of equal or greater quality and value. If a substitution materially differs from the originally described item, LANCraft Events Ltd will notify the Member before dispatch and offer the Member the choice of the substituted item or a credit toward future merchandise of equivalent value.
13.5 Replacement of lost, stolen, or damaged Welcome Package items (after delivery) is not guaranteed and will be assessed on a case-by-case basis.
14. Personal Gaming Chair (Apex Tier)
14.1 Apex Members are entitled to a personalised gaming chair. The gaming chair remains the property of LANCraft Events Ltd at all times (unless the Member elects to take ownership under clause 14.7). The chair is not sold to the Member but is manufactured for the Member’s exclusive personal use at Enclave LAN Events.
14.2 Ownership and Use at Events. LANCraft Events Ltd will ensure that each Apex Member’s personalised gaming chair is available and set up at their designated station at every Enclave LAN Event. Between Events, the chair will be stored and transported by LANCraft Events Ltd at no additional charge to the Member. Members do not have the right to take permanent possession of the chair, save where clause 8A.3 applies (death or qualifying medical grounds) or upon Permanent Cessation of Events (clause 11.5(f)), at which point LANCraft Events Ltd will offer the Member the option to take ownership of their chair.
14.3 LANCraft Events Ltd will take reasonable care of the chair while in storage and transit. LANCraft Events Ltd will maintain appropriate insurance to cover loss of or damage to stored chairs. In the event that a chair is lost, stolen, or damaged beyond reasonable repair while in LANCraft Events Ltd’s custody (other than through normal wear and tear), LANCraft Events Ltd will replace the chair at its own cost. LANCraft Events Ltd does not accept liability for damage caused by force majeure events as defined in clause 19.
14.4 Insolvency. In the event of the insolvency, liquidation, or administration of LANCraft Events Ltd, the company (or its insolvency practitioner) will use reasonable endeavours to enable Apex Members to collect their personalised gaming chair within 28 days of the insolvency event. LANCraft Events Ltd will ensure that chairs are clearly labelled with the Member’s name and identifiable as held on behalf of Members to assist any insolvency practitioner in distinguishing them from general company assets.
14.5 In the event that a Membership is permanently cancelled under clause 9, the gaming chair remains the property of LANCraft Events Ltd and will be retained by LANCraft Events Ltd, subject to the Member’s right to request purchase under clause 9.7B.
14.6 Alternative Provision for Members with Disabilities. If an Apex Member is unable to use a standard gaming chair due to a disability or physical condition (for example, because they use a wheelchair or require specialist seating), LANCraft Events Ltd will work with the Member on a case-by-case basis to provide a suitable replacement that is tailored to the individual’s needs, with the Member’s input, focused on their convenience and comfort at Events. LANCraft Events Ltd will allocate up to the equivalent amount that would have been spent on a personalised gaming chair toward the alternative provision. The Member will not be disadvantaged by being unable to use the standard gaming chair, and all other VIP benefits will be maintained. Members should notify LANCraft Events Ltd of their requirements as early as possible, ideally at the point of purchase.
14.7 Voluntary Collection of Gaming Chair. An Apex Member may, at any time, request that their personalised gaming chair be sent to them by contacting LANCraft Events Ltd. The cost of packaging, shipping, and delivery will be borne entirely by the Member. LANCraft Events Ltd will provide a quote for the delivery costs before proceeding. Upon delivery, ownership of the chair transfers to the Member. Once the Member has taken ownership of their personalised gaming chair under this clause, the personalised gaming chair perk forming part of the Apex Membership is permanently void for that Member. LANCraft Events Ltd will no longer be responsible for providing, storing, transporting, insuring, or setting up a gaming chair at Events for that Member, and the Member will not be entitled to a replacement chair or any compensation in lieu of the chair perk. All other Apex Membership benefits remain unaffected. This clause is intended to accommodate Members who, for example, permanently relocate outside the United Kingdom or otherwise wish to take personal possession of their chair.
15. Seat Picker and Early Access
15.1 All Founders Members receive early access to the seat picker before it opens to general ticket holders. Early access opens at the same time for all Founders Members regardless of tier. The specific timing of the early access window will be communicated via the Founders Discord channel and/or Founders newsletter in advance of each Event.
15.2 LANCraft Events Ltd does not guarantee that any specific seat will be available. Seat selection is on a first-come, first-served basis within each tier’s access window.
15.3 Seat picker access is subject to the technical availability of the seat picker platform. LANCraft Events Ltd is not liable for technical failures or downtime.
15.4 Accessible Seating. LANCraft Events Ltd provides designated accessible seating at each Event. Members who require accessible seating (for example, wheelchair-accessible stations, proximity to facilities, or other disability-related requirements) will be offered the available accessible seats to choose from. LANCraft Events Ltd works closely with Members who need additional support to ensure their needs are met from a seating and accessibility perspective. Members should contact LANCraft Events Ltd in advance of the Event to discuss their requirements so that appropriate arrangements can be confirmed.
16. Event Attendance and Conduct
16.1 All Members must comply with the Enclave LAN Event Terms and Conditions and Community Guidelines at all times while attending an Event. Membership does not exempt the holder from any rules, codes of conduct, or guidelines applicable to all attendees.
16.2 LANCraft Events Ltd reserves the right to refuse entry to, or eject from, any Event a Member whose behaviour is in breach of the Event Terms and Conditions, Community Guidelines, or applicable law. Ejection from an Event does not in itself constitute cancellation of the Membership, but may be taken into account in any subsequent decision under clause 9.
16.3 Membership does not guarantee entry if the Member fails to present valid identification or their membership card at check-in.
16.4 Accessibility and Reasonable Adjustments. LANCraft Events Ltd is committed to making Events accessible to all Members, in accordance with its duties under the Equality Act 2010. Members with disabilities or access requirements are encouraged to contact events@lancraftevents.com in advance of each Event so that reasonable adjustments can be made. Reasonable adjustments may include (but are not limited to) accessible seating arrangements (clause 15.4), alternative provision in place of a gaming chair (clause 14.6), accessible parking, assistance with entry and registration, provision of information in accessible formats, and any other adjustments that are reasonable in the circumstances. LANCraft Events Ltd will not charge Members for reasonable adjustments.
16.5 Non-Discrimination. LANCraft Events Ltd will administer the Membership programme, enforce these Terms, and deliver all benefits without unlawful discrimination on the grounds of any protected characteristic under the Equality Act 2010. Enforcement action under clause 9 will be based solely on the Member’s conduct and will not be influenced by any protected characteristic. Any Member who believes they have been subjected to discrimination in connection with their Membership or at an Event may raise a complaint under the procedure in clause 22.4.
16.6 Event Scheduling and Religious Observance. Enclave LAN Events are typically held twice a year over the Easter bank holiday weekend and the August bank holiday weekend (Thursday through to Monday). These dates are well publicised in advance and are a longstanding feature of the Enclave LAN calendar. Members should take Event scheduling into account when purchasing a Membership. LANCraft Events Ltd is not obligated to reschedule Events or provide alternative arrangements where a Member is unable to attend due to religious observance, and absence from an Event for this or any other personal reason does not affect the Membership or entitle the Member to any refund or compensation.
17. Changes to the Membership Programme
17.1 LANCraft Events Ltd reserves the right to modify, add to, or amend the benefits included in the Membership programme from time to time. We will use reasonable efforts to maintain the core value of the Membership, and any changes will be communicated to Members via the Founders Discord channel and/or newsletter.
17.2 Changes may include, but are not limited to: adjustments to goody bag contents, t-shirt designs, seat picker access timings, newsletter frequency, or the specific items included in event merch drops.
17.3 LANCraft Events Ltd will not reduce the core ticket entitlement (BYOC for Standard/Vanguard, VIP for Apex) without the written consent of affected Members.
17.4 Notification of Changes. LANCraft Events Ltd will give Members no less than 30 days’ written notice of any material changes to these Terms and Conditions, the Membership programme, or any material changes to the Enclave LAN Event Terms and Conditions or Community Guidelines that specifically affect Founders Members. Such notice will be communicated directly to the Member via email or Discord (not solely by posting in a channel). The notice will clearly explain what is changing and when the change takes effect.
17.5 Right to Reject Material Changes. If a material change is detrimental to the Member, the Member may notify LANCraft Events Ltd within the 30-day notice period that they do not accept the change. If the change substantially reduces the core value of the Membership (for example, a reduction in the ticket entitlement or the removal of a significant tier-specific benefit), and the parties cannot reach agreement, the Member may elect to terminate the Membership and receive a pro-rata refund of the Membership fee, calculated on the same basis as clause 11.5(a) (using the date of termination in place of the date of Permanent Cessation), subject to a minimum refund of 25% of the original Membership fee regardless of the calculation. This right does not apply to minor or administrative changes.
18. Limitation of Liability
18.1 To the fullest extent permitted by law, the total liability of LANCraft Events Ltd to any Member under or in connection with the Membership shall not exceed the Membership fee paid by that Member.
18.2 LANCraft Events Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profit, loss of enjoyment, or loss of anticipated savings, whether arising in contract, tort (including negligence), or otherwise.
18.3 Nothing in these Terms and Conditions shall exclude or limit liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under English law.
18.4 LANCraft Events Ltd, its partners, sponsors, exhibitors, and their respective affiliates are not responsible for any injury, damage, or financial loss incurred by Members while attending an Event, except where caused by the negligence of LANCraft Events Ltd.
18.5 Consumer Rights Act 2015 and Digital Markets, Competition and Consumers Act 2024. For the avoidance of doubt, the services provided under this Membership are subject to the implied terms under the Consumer Rights Act 2015, including that services will be performed with reasonable care and skill, and to the consumer protection provisions of the Digital Markets, Competition and Consumers Act 2024. If the services do not conform to the contract, Members have the right to require repeat performance or, where repeat performance is not possible or not carried out within a reasonable time, a price reduction. Nothing in these Terms limits or excludes these statutory rights.
19. Force Majeure
19.1 LANCraft Events Ltd shall not be liable for any failure or delay in performing its obligations under these Terms where such failure or delay results from circumstances beyond its reasonable control (“Force Majeure Event”), including but not limited to: acts of God, pandemic, epidemic, government restrictions, civil unrest, strikes, fire, flood, severe weather, power failure, or venue unavailability.
19.2 If a Force Majeure Event occurs, LANCraft Events Ltd will notify Members within 14 days of the event affecting its obligations, specifying the nature of the Force Majeure Event and the expected duration (if known).
19.3 LANCraft Events Ltd will use reasonable endeavours to resume Events as soon as reasonably practicable after the Force Majeure Event ceases.
19.4 If a Force Majeure Event prevents all Enclave LAN Events from taking place for a continuous period of 36 months or more, any Member may elect to treat this as Permanent Cessation under clause 11.5 and claim the pro-rata refund set out in that clause, notwithstanding that the cessation arises from force majeure. This right is reflected in clause 11.4 (36-month hard backstop).
20. Data Protection
20.1 LANCraft Events Ltd will collect and process personal data (including name, address, email, gamertag, Discord username, and vehicle registration number where provided) in connection with the Membership in accordance with its Privacy Policy and applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
20.2 Member data will be used for the purpose of administering the Membership, fulfilling benefits (including parking reservations and hotel bookings), communicating with Members, and improving the Enclave LAN experience. Data will not be sold to third parties.
20.3 Members have the right to access, correct, or request deletion of their personal data by contacting events@lancraftevents.com.
20.4 Founders Wall. The display of Members’ names on the Founders Wall (whether physical or digital) constitutes the publication of personal data. Members will be asked to provide explicit consent for their name (or chosen alias) to be displayed. Members may withdraw consent at any time by contacting events@lancraftevents.com, and their name will be removed within a reasonable timeframe.
20.5 Data Retention. LANCraft Events Ltd will retain personal data for the duration of the Membership and for a period of 7 years after the Membership ends (whether by cancellation, termination, death, or Permanent Cessation), in accordance with HMRC record-keeping requirements and applicable limitation periods. After this period, personal data will be securely deleted unless retention is required by law. Vehicle registration data is subject to the shorter retention period in clause 6.7.
21. Intellectual Property
21.1 All intellectual property rights in the Enclave LAN brand, logos, designs, membership card designs, keycap designs, merch designs, and all other materials provided as part of the Membership remain the property of LANCraft Events Ltd.
21.2 Members may not reproduce, distribute, or commercially exploit any Enclave LAN intellectual property without the prior written consent of LANCraft Events Ltd.
22. Governing Law and Dispute Resolution
22.1 These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
22.2 Any dispute arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales, unless the Member is resident in another part of the United Kingdom, in which case the applicable law of that part of the United Kingdom will apply and any dispute may be brought before the courts there.
22.3 Before commencing any legal proceedings, the parties agree to attempt to resolve any dispute informally by contacting LANCraft Events Ltd via events@lancraftevents.com or through the Enclave LAN Discord support channel.
22.4 Complaints Procedure. Any complaint relating to the Membership or an Event should be submitted in writing to events@lancraftevents.com. LANCraft Events Ltd will acknowledge receipt within 5 working days and provide a substantive response within 20 working days. If the Member is not satisfied with the response, they may escalate the matter in accordance with clause 22.5.
22.5 Alternative Dispute Resolution. In accordance with applicable ADR legislation (including the Alternative Dispute Resolution for Consumer Disputes (Competent Authorities and Information) Regulations 2015, as amended or replaced by the Digital Markets, Competition and Consumers Act 2024 or any subsequent legislation), LANCraft Events Ltd informs you that it is not willing to submit to an alternative dispute resolution procedure operated by a certified ADR provider. If you are not satisfied with the outcome of the complaints procedure in clause 22.4, you may bring proceedings in the courts as set out in clause 22.2. For EU/EEA residents, you may also use the Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr.
23. General Provisions
23.1 Entire Agreement. These Terms, together with the Enclave LAN Event Terms and Conditions (as published at https://www.enclavelan.com/event-terms-conditions) and Community Guidelines (as published at https://www.enclavelan.com/community-guidelines), constitute the entire agreement between the Member and LANCraft Events Ltd in relation to the Membership. Material changes to the Event Terms and Conditions or Community Guidelines that affect Founders Members are subject to the notification requirements in clause 17.4.
23.2 Severability. If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
23.3 Waiver. No failure or delay by LANCraft Events Ltd in exercising any right under these Terms shall constitute a waiver of that right.
23.4 Third-Party Rights. No person other than the Member and LANCraft Events Ltd shall have any right to enforce any provision of these Terms under the Contracts (Rights of Third Parties) Act 1999.
23.5 Communications. Where these Terms require or permit communication via the Founders Discord channel, this is a convenience and not the sole means of communication. If Discord becomes unavailable or a Member is unable to use Discord, LANCraft Events Ltd will ensure that all material communications (including Event details, changes to Terms, and complaints responses) are also available via email to events@lancraftevents.com. Members should ensure that their registered email address is kept up to date by notifying LANCraft Events Ltd of any changes.
23.6 Assignment and Change of Control. LANCraft Events Ltd may assign or transfer these Terms and Conditions (and its obligations under them) to a third party, provided that: (a) the assignee or transferee expressly assumes all of LANCraft Events Ltd’s obligations to Members under these Terms; (b) LANCraft Events Ltd gives Members no less than 30 days’ written notice of the assignment or transfer, identifying the new entity and confirming that the new entity has assumed all obligations; and (c) the assignment or transfer does not reduce the Member’s rights or benefits under these Terms. If the Member reasonably considers that the assignment materially and adversely affects the value of their Membership, the Member may elect to terminate and receive a pro-rata refund calculated on the same basis as clause 11.5(a), subject to a minimum refund of 25% of the original Membership fee. The Member must exercise this right within 30 days of receiving notice of the assignment. Members may not assign their Membership or any rights under these Terms.
23.7 Notices. Any notice required or permitted under these Terms and Conditions must be in writing and sent by email. Notices to LANCraft Events Ltd must be sent to events@lancraftevents.com. Notices to the Member will be sent to the email address provided at the time of purchase (or as subsequently updated by the Member under clause 23.5). A notice is deemed received on the day it is sent by email, provided it is sent before 17:00 on a working day; otherwise it is deemed received on the next working day.
